Funding Protocol for Charitable Organizations

Objective

To establish a transparent and consistent protocol for evaluating and selecting charitable organizations for funding, ensuring alignment with Grapes for Humanity’s mission and core pillars of Health, Education, and Environment.

1. Eligibility Criteria

Charities seeking funding from GFH must meet the following baseline requirements:

  •  Registered Status: Must be a registered charity or not-for-profit in their respective country, with verified charitable status (CRA number in Canada, 501(c)(3) in the USA, etc.).

  •  Alignment with GFH’s Pillars: Must have initiatives within Health, Education, and/or Environment.

  •  Impact-Oriented: Demonstrated measurable impact on beneficiaries, with clear metrics and outcomes from previous projects.

  •  Financial Transparency: Must have audited financial statements for the past three years, detailing sources and allocation of funds.

  • Accountability: Ability to provide regular updates, reports, and evidence of impact, including photographs, testimonials, and stories from beneficiaries.

2. Application Process

Step 1: Letter of Inquiry (LOI) Submission

  • Interested charities must submit an LOI detailing their organization, mission, specific project for funding, estimated budget, and alignment with GFH’s pillars.

  • LOIs should be concise, no longer than 2 pages, and submitted to the GFH Grants Committee email.

Step 2: Initial Screening by GFH Grants Committee

  • The GFH Grants Committee reviews LOIs to ensure they meet eligibility criteria.

  • Selected charities are invited to submit a formal proposal.

Step 3: Formal Proposal Submission

  • Invited charities must submit a detailed proposal, including:
       ○ Executive summary of the project
       ○ Detailed project plan and timeline
       ○ Expected outcomes and metrics of success
       ○ Budget breakdown and funding request
       ○ History of project impact if it is an ongoing initiative

Step 4: Review and Evaluation

  • GFH committee members individually evaluate each proposal based on alignment with GFH’s mission, potential impact, sustainability, and accountability.

  • A scoring rubric may be applied to ensure objective assessment.

Step 5: Interview and Due Diligence

  • Shortlisted charities are invited for an interview with the Grants Committee.

  • Additional due diligence is conducted, including verification of financials, review of past project outcomes, and cross-referencing with other partners.

3. Approval and Funding Decision

  • The GFH Board of Directors reviews recommendations from the Grants Committee.

  • A majority vote from the Board is required to approve funding.

  • Charities are notified of funding decisions within four weeks of the board’s final vote.

4. Funding Disbursement and Reporting Requirements

  • Disbursement: Funds are disbursed in agreed-upon installments, based on the project timeline and milestones.

  • Progress Reports: Recipients must submit progress reports, including financial updates and impact metrics.

  • Final Report: Upon project completion, a comprehensive report detailing the use of funds, achieved outcomes, and beneficiary testimonials is required.

5. Follow-Up and Future Funding Consideration

  • GFH maintains an open line of communication with funded charities and monitors the ongoing impact of projects.

  • Charities in good standing may apply for future funding or collaborative initiatives aligned with GFH’s mission.

6. Ethics and Transparency

  • GFH operates under strict ethical guidelines to ensure no conflict of interest within funding decisions.

  • All GFH funding decisions are documented and accessible for audit or review upon request by stakeholders or regulatory bodies.
